How to use the sheet

Six steps from a stack of bids to a page the board can follow.

01

Get bids for the same work

Send every contractor the same scope. If one bid covers more or less, the sheet shows it.

02

Copy each price as printed

Enter the total on each bid before changing anything, so the board sees where you started.

03

Mark what each bid covers

Included, left out, or not mentioned. A blank is not a yes. Ask the contractor in writing.

04

Price what is missing

Put a fair amount next to each gap so the cheapest bid does not win by leaving work out.

05

Check insurance, deposit and warranty

These protect the association after the vote. They matter as much as the price.

06

Record any board member ties

Note any relationship between a board member and a bidder before anyone votes.

FAQ

What boards ask before using the sheet.

How many bids does a condo or HOA board need?

It depends on your governing documents and state law. Many associations ask for three on large jobs, and some states set a dollar amount above which competitive bids are required. Check your bylaws or ask your manager.

Is the sheet free?

Yes. Excel and CSV, no email, no sign-up.

Can I use it in Google Sheets?

Yes. Open the CSV in Google Sheets, or upload the Excel file to Google Drive.

What does the $9 report add?

It reads the bids for you, fills in what each one covers with the page it came from, and gives you a one-page board summary PDF to put in the board package.

Do contractors pay EstimateHawk?

No. We take no referral fees, sell no leads and run no paid placements. The read works for the association.
