Supplier Quote Comparison

Compare Supplier Quotes Line by Line, in Seconds

Upload the quotes from your RFQ — PDFs, spreadsheets, or scans. AI extracts every line item, pairs the same products across differently formatted quotes, and flags what is missing, mispriced, or not directly comparable.

The Problem

Why this matters.

Every supplier formats their quote differently — different product names, units, and bundling — so a three-quote RFQ means rebuilding each document in a spreadsheet before comparison can even begin

A quote can look cheapest simply because it leaves items out — accessories, fasteners, delivery, sealing profiles — and the gap only surfaces after the purchase order is placed

A full bill of quantities and a unit-rate price list produce totals that cannot be compared directly, and it is easy to rank quotes on numbers that do not mean the same thing

Procurement runs package after package — the same manual comparison work repeats for every material group on every project

The Solution

How EstimateHawk solves it.

AI reads each quote — PDF, spreadsheet, or photo — and extracts every line item with quantities, units, and rates into one structured comparison

Semantic matching pairs the same product across differently worded quotes, so the same panel or fastener quoted under two different names lands in one row

Items present in one quote but missing from another are flagged automatically — a "cheaper" quote with missing scope is visible before you commit

When two quotes use different pricing bases — a full bill of quantities versus a unit-rate list — the comparison flags the mismatch instead of ranking totals that are not comparable

FAQ

Frequently asked.

Do my suppliers need to use EstimateHawk?
No. EstimateHawk works with the quotes you already received — PDF, Excel, CSV, or a clear photo of a paper quote. Your suppliers never create accounts, fill in forms, or change how they respond to your RFQ.
What kinds of quotes work best?
Itemized quotes with line items, quantities, units, and rates. PDFs can be up to 15 pages; spreadsheets and photos of paper quotes also work. Lump-sum quotes can be uploaded too — they just carry less detail for the line-level comparison.
How does it handle quotes with different formats or units?
Descriptions are normalized and semantically matched, so the same product under different names is paired into one row, and rates are compared on a per-unit basis where the units genuinely correspond. When two documents price fundamentally differently — a complete bill of quantities against a bare rate list — the comparison flags the mismatch rather than pretending the totals are comparable.
Is EstimateHawk affiliated with any supplier or contractor?
No. EstimateHawk takes no money from suppliers, contractors, or insurers — no referral fees, no commissions, no paid placements. The analysis works only for the person who uploads the quotes.
